1. Payments, Deposits & Authorization

All deposits are non-refundable and applied toward the total reservation amount. Reservations are not confirmed and vehicles are not guaranteed until the required deposit or full payment has been received. Full or remaining balances must be paid prior to or at the time of service unless otherwise agreed in writing. Freedom Luxury Transportation, LLC reserves the right to charge the payment method on file for any remaining balance, wait time, damages, cleaning fees, tolls, gratuities, or additional services incurred. Late balances may be subject to administrative or collection fees where permitted by law.

2. Service Assurance & Substitution

In the unlikely event that a vehicle issue prevents service from being completed as scheduled, Freedom Luxury Transportation, LLC will make every reasonable effort to provide a comparable replacement vehicle. If a suitable replacement is unavailable, services may be rescheduled at a mutually agreed time. If neither replacement nor rescheduling is possible, a refund will be issued for any unused portion of service. This constitutes the client’s sole remedy for service interruption.

3. Client Responsibility & Damages

Drug use is prohibited by law. Any fines, citations, or penalties incurred will be charged to the client. The client assumes full financial responsibility for any damage caused to vehicles by the client or members of their party, including but not limited to:• Burns, stains, tears, broken components • Excessive cleaning required due to spills, bodily fluids, food, pet hair, or misuse

Fees may include: • $300 per damaged carpet or seat burn  • $500 sanitation fee if required • Minimum $50 cleaning fee

4. Conduct & Termination of Service

Smoking is not permitted in any vehicle. Alcohol is permitted only for passengers of legal age and may not be consumed in the front seat. Freedom Luxury Transportation, LLC reserves the right to immediately terminate service without refund if:  • Unsafe behavior occurs • Illegal activity is present  • Passengers fail to comply with chauffeur instructions 

5. Wait Time, Overage & Additional Stops

15-minute grace period for non-hourly services. Airport pickups include one complimentary hour. Unscheduled stops incur $30 (includes 15 minutes).

After grace period:

 • $1.50/min — sedan
• $2.00/min — luxury sedan or SUV
• $3.00/min — sprinter or transit van

6. Child Seat Policy

Chauffeurs may NOT install child seats. A parent or responsible party must install and secure all seats. Seats may be provided upon request, subject to availability.

7. FBO & Private Aircraft Arrivals

• Aircraft tail number required at booking (or 12 hours prior) • Vehicles arrive approx. 20 minutes before landing • Wait time begins 5 minutes after aircraft door opens

                  Trackable flights follow standard rates. Non-trackable flights incur 2-hour minimum. Client responsible for notifying schedule changes.

8. Cancellation Policy – Standard Services

• Bookings within 24 hours are non-refundable • <12 hours notice: 50% forfeited • <4 hours notice: 100% forfeited

Airport delays beyond client control refunded minus incurred costs. Baggage delays after chauffeur arrival are not refundable.

9. Special Events

• Written cancellation 14 days prior • Changes required 72 hours prior • Some events may be non-refundable (disclosed at booking)

10. Force Majeure

Freedom Luxury Transportation, LLC is not liable for delays or service failure due to circumstances beyond reasonable control including weather, accidents, road closures, government actions, civil unrest, or acts of God. No refunds for such delays, though reasonable efforts will be made to complete service.

11. Limitation of Liability

Liability shall not exceed the total amount paid. Not responsible for lost or damaged personal items. No indirect or consequential damages.

12. Independent Security Services & Separate Billing

Security services, when arranged, are provided by an independent third-party vendor: Donovan Security Services - All security services are contracted and billed separately. Freedom Luxury Transportation, LLC is not responsible for the actions, performance, or obligations of the security provider. Security services are governed by the vendor’s own agreement.

13. Governing Law

This agreement is governed by the laws of the State of Texas and the laws of the states where affiliates operate and location where service is performed.

14. Agreement Acceptance

By booking services, the client agrees to all terms and conditions herein.
